Automation in sales: Scale with a personal touch


Most sales departments already work with CRM, email tools and outreach tools. But "having a system" is not the same as being smart about automation.

- When an old lead suddenly opens 3 emails in a row

- When a contact returns after more than 30 days

How to do it:

For example, connect HubSpot with Make or Zapier to trigger tasks, Slack pings or emails to the responsible salesperson.

3. Create personalized email sequences

A good outreach flow starts manually - but can then be scaled. Here's how you do it:

- Step 1: Manually write 5-6 personalized emails and identify what works

- Step 2: Build a template where parts are static (problem, solution, CTA) and parts dynamic (name, company, reference)

- Step 3: Automate with personalized fields (e.g. via Instantly or Smartlead)

Important: Avoid making every email sound like a template. Simple tweaks in tonality make a big difference.

4. Let AI summarize conversations and provide next steps

After each sales call, 10-15 minutes are often spent documenting and following up. This can be automated too:

- AI transcription (Fireflies.ai, Otter.ai)

- Summary + suggestions for next steps → sent directly to CRM

- Automatic draft follow-up email created

Outcome: More time to sell - less time to write the same thing again.

5. Create a "warm leads feed" that is updated every day

Most CRM lists are full of old contacts. Build a dashboard that lists every day:

- Who has interacted recently

- How many signals they gave (visits, clicks, email opens)

- When you last heard from us

Example: Connect Google Sheets, Airtable or Pipedrive with Make - and create an internal "to call" flow.

Automation is not about avoiding contact - but enabling it the right contact, at the right time, with the right information.
