A booked meeting is not always a good meeting.

In fact, many sales meetings go nowhere - because the customer should never have been there in the first place.

It provides you with a concrete process to qualify leads before the meeting, save time and increase the conversion rate to business.

1. the three most important questions to answer before booking a meeting

To decide whether a meeting is worth the time, you should have answers to:

1. Does the person have a mandate to make decisions or influence decisions?

If not - don't book the meeting, or make sure the right people are invited.

2. Is there a clear need or problem?

If the customer is not in pain anywhere, the chances of them buying are slim.

3. Is there a reasonable timeframe for decisions?

"Let's look around" is not a qualified lead.

Do you have answers to these three? Then the meeting is worth taking. If not - do more preparatory work.

2. examples of qualifying questions via email or phone

Here are some concrete questions you can ask during the first contact or before the meeting:

Via e-mail

- "What is your current solution today?"

- "What do you hope to get out of the meeting?"

- "Are you or someone else driving these issues internally?"

By phone

- "What made you accept a meeting right now?"

- "What is your decision-making process like?"

- "If we find something that feels relevant - how quickly does it need to happen?"

The earlier you gain insight - the better the meeting will be.

3. how to make demands - without scaring the customer away

Many sellers do not dare to qualify because they are afraid of losing the meeting.

But making demands shows that your time is also valuable - and increases respect.

Example:

"To make the meeting relevant, I need to know a bit more about how you work today - is it okay if I send you some quick questions beforehand?"

It's about expectation, not pressure.

The right buyer will appreciate the clarity. The wrong buyer will back off - which is exactly what you want.

4. Automate qualification with Typeform or CRM

Instead of manually qualifying each lead - build it into the flow:

- Submit a Typeform form immediately after the meeting is booked

- Use HubSpot or Pipedrive to link the form to the CRM

- Set rules: If the answers do not match your ICP, send an alternative proposal or cancel

Tips:

Have a maximum of 3-5 questions, otherwise the response rate will decrease.

5. Template: "See you soon - but first some quick questions"

Send this 1-2 days before the meeting:

Subject: Before our meeting - some quick questions

Hello [First name],

Looking forward to our conversation on [date and time]!

To make it as relevant as possible, I would appreciate if you could answer a few short questions before we meet:

1. Do you currently use any solution for [topic]?

2. What do you hope to get out of the meeting?

3. Who in your organization is responsible for [relevant area]?
