
How to build a to-call system that shows exactly who sales should call
Most sales systems are full of old contacts, mixed leads and poor visibility. The result? Salespeople spend time looking instead of selling.
In this post, we'll show you how to build a concrete, automated to-call flow. A system that shows you exactly which contacts are worth calling every day - based on activity, engagement and timing.
Start by defining what makes a lead "worth calling"
All automation starts with rules. You need to define:
- What an "active lead" means in your sales process
- What type of engagement is relevant (e.g. email opens, page visits, clicks)
- How long a contact is considered active
- Which leads are excluded (e.g. already in meeting, old contacts, bad match)
Example:
A lead that has opened at least 2 emails in the last week, visited the pricing page, and does not have an upcoming booking = "hot leads".
How to set up the flow in practice
You will need three things:
1. A CRM or a Google Sheet with all contacts
2. A tool for automation like Husband, Zapier or n8n
3. A visual dashboard (e.g. Airtable or Google Data Studio)
The flow works like this:
- Activity (e.g. email opening, clicks or visits) is automatically recorded
- A contact that meets the criteria is marked with the status "Call today"
- A new to-call card is created in Airtable or equivalent system
- When the salesperson calls, the call is logged and the contact status is updated
This is not theory - it is exactly how many modern sales teams work today.
Avoid the mistake: relying too much on CRM default views
In many CRM systems, there is a tab called "leads to call". But it's often based on last entered - not most engaged.
Therefore, you should create a separate feed where you make the rules. Otherwise, salespeople risk spending time on cold contacts while warm leads lose momentum.
How often should you update the list?
We recommend updating the list every night or every hour - depending on the system you use. For example, with Make or Zapier you can
- Check all contacts every hour
- Filter by activity in the last 48 hours
- Send a Slack note to the sales manager with today's "hot list"
- Update CRM with the right label and priority
All this without anyone having to press a single button.
What should the contact card say?
Each "to-call" card should contain:
- Name, company and title
- What activity triggered the card (e.g. "visited the price page 2x")
- Latest contact and results
- Relevant link (e.g. to the CRM record or meeting booking)
